A simple decision rule
If the main task is to read, print or mark a fixed layout, consider a PDF. If the user needs to enter repeated data, sort records or calculate changing totals, consider an editable spreadsheet. A fillable PDF can collect values, but do not imply that an ordinary exported PDF is fillable. Describe the actual behaviour of the file you supply.
Test the printable version
Check the intended page size, margins, text size, ink use and whether the layout remains legible in grayscale. A Letter-size buyer and an A4-size buyer may need separate layouts. Print one sample using the same instructions you give customers, rather than judging only a screen preview. Include a clear indication of which pages are samples and which are the final product.
Test the editable version
List the spreadsheet software you actually checked. Test empty entries, zero quantities, unusually long labels and formulas after copying rows. Make input cells easy to identify, keep example data clearly labelled, and show a reset or clean-copy workflow. Do not claim compatibility with every spreadsheet application because the file has an .xlsx extension.
A concrete product example
For a home cleaning business, a one-page visit checklist might work as a PDF. A quote worksheet that changes with rooms, hours and supply costs is better suited to a tested spreadsheet. You could offer both if they solve connected tasks. A PDF export of the worksheet can help preview the layout, but it does not replace working formulas.
Package the smallest useful delivery
A simple bundle might contain the working file, a short instruction document and one labelled example. Give files clear names, state the language and software requirements, and explain what is editable. Avoid shipping multiple unfinished formats just to increase the file count. A smaller bundle that works is easier to describe and support.
Validate with a real task
Ask a potential user to print the checklist or make a sample quote without your explanation. Record where they hesitate, which software they use and whether the output is useful. This is a suggested testing method, not a report of tests performed by 0UB. Use the first-download checklist for the rest of the delivery preparation.
Sources & verification
Official sources where available. Guides without a source list are original planning or arithmetic, not reports of earnings. No hands-on test is implied.
